Getting started with PDF Template Filler

PDF Template Filler lets you upload your own PDF documents and automatically fill them with monday.com item and subitem data. This guide will walk you through installation, setup, and everyday usage.

Installation & setup

Click the button below to install PDF Template Filler directly:

Add to monday.com

Once you click the button, you will be redirected to an installation screen. Review the permissions requested by the app. If everything looks correct, click Install to proceed.

Alternatively, you can install it from the monday.com marketplace

After the installation is complete, you can begin using the app immediately.

Click on any item in the Project and choose 'Add View':

Next, locate and add the PDF Template Filler widget and click "Add to Item":

You're now set up and ready to start using the app.

Creating your first template

PDF Template Filler works with the PDF files you already use in your business—like invoices, quotes, project summaries, or agreements.

  • Open any item and switch to the PDF Filler view.

  • Click "Upload PDF Template" and choose a PDF from your computer.
  • Once the file is uploaded, you'll see a page preview inside the app.

  • Click any field to locate its placeholder on the PDF preview, then drag the placeholder to where you want the data to appear.

  • Repeat this process for all the fields you want to include in your PDF.
  • To delete a placeholder, select it. A delete button will appear next to its name label — click it to remove the placeholder.

  • Click the "Generate PDF" button.
  • Download the new PDF.

Using subitems

If your board uses subitems—for example, tasks inside a project or line items inside an order—you can pull that data into your PDF as well.

  • In the "Board fields" panel, use the dropdown to switch between Parent item fields and different subitems.

  • Select columns such as subitem name, amount, or status.

  • Drag and drop the subitem placeholder onto the PDF where you want the data to appear.
  • You can generate PDFs that include both item-level details (like client, project, or total) and subitem details (like tasks or order lines).

Styling and formatting

Each placeholder supports basic text styling so your generated PDFs stay consistent with your brand.

  • Adjust the font size to match the typography in your template.
  • Choose font weight (normal or bold) for emphasis.
  • Pick a text color using either the palette or a HEX code.
  • Select a text case: uppercase, lowercase, or capitalize each word.
  • Use the Position & Size fields to fine-tune the exact placement of each placeholder on the page.

Exporting and sharing PDFs

Once your template is mapped and styled, you're ready to generate documents.

  • Click the "Generate PDF" button.

  • Download the new PDF.
  • Share the document with clients, teammates, or external stakeholders as needed.

Auto-saving your template

Your template layout is saved automatically as you work.

  • Item placeholder positions and styling are preserved.
  • When you switch items, their data appears in the positions you last set.
  • Subitem placeholders reset whenever you change items.

Uploading a new PDF

  • Click the "New PDF" button.

  • Select a PDF file from your computer.
  • The PDF Filler will load the file and show a page preview inside the app.
  • Drag and drop placeholders to adjust the position of your data fields on the PDF template.
  • Continue styling placeholders as needed.
